New Starter PPE Checklist: Kitting Out Your Team for Day One

A new starter PPE checklist makes sure every recruit has the right workwear and protective equipment, correctly sized, before their first shift. A first day sets the tone for everything that follows, and nothing says “we're organised and we value you” like a complete uniform waiting on day one. Here's a checklist to get it right.

Before they start: sizes and risk assessment

Collect sizes during onboarding, so kit can be ordered and branded before day one:

  • Top and outerwear size
  • Trouser waist and leg length
  • Boot size, and whether they need a wider fit
  • Ladies' or men's fit
  • Any relevant needs, such as prescription eyewear or specific fits

Many women find ladies' fit workwear fits far better than small men's sizes, so ask rather than assume. Ill-fitting PPE is uncomfortable and less likely to be worn properly.

Check your risk assessment for the role so PPE matches actual hazards, not habit. If the role has changed or the site is new, update the assessment first.

Core uniform checklist

A typical new starter needs:

  • Two or three tops, such as polo shirts and t-shirts or shirts
  • Trousers or tunics as appropriate to the role
  • A jacket, fleece or hoodie for warmth
  • Waterproofs for outdoor roles

That gives enough for a sensible wash rotation. Add embroidery or print so they represent the brand from the start, and keep a record of logo positions and colours so every pack matches.

The extras that impress, such as a beanie or cap, work socks and a kit bag, cost little but make a starter pack feel complete.

PPE checklist: issue what the assessment calls for

PPE as required may include:

  • Safety footwear with the right S rating for the hazards
  • Hi-vis clothing to the correct EN ISO 20471 class
  • Gloves matched to the task, such as EN 388 for cut and abrasion risks
  • A hard hat to EN 397, or a bump cap to EN 812 only where there's no falling-object risk
  • Eye protection to EN 166 and hearing protection to EN 352
  • Respiratory protection where identified, with face-fit testing for tight-fitting masks

Record what's issued and when. It demonstrates compliance and simplifies replacement, and a simple sheet with item, size, date and signature is enough for most small businesses.

What the law says about providing PPE

Under the PPE at Work Regulations 1992, employers must provide suitable PPE free of charge where risks can't be adequately controlled in other ways. Since 6 April 2022, those duties also extend to “limb (b)” workers, which covers most casual and agency-type workers, so short-term starters need the same protection as permanent staff. Our guide to PPE and the law has more detail, and the HSE's guidance is the place to check if you're unsure.

Employers also need to give information, instruction and training on using PPE. Walk new starters through how each item fits, how to care for it and how to report damaged or lost kit. PPE only protects when it's in good condition and actually worn.

If you take on staff regularly, a standard pack for each role saves time and keeps things consistent. Our guide to ordering branded workwear covers sizing and logos in more depth.

Quick answers

What PPE should a new starter be given?

Whatever the risk assessment for their role identifies, which might include safety footwear, hi-vis, gloves, or head, eye, hearing or respiratory protection. It must be provided free of charge, along with training on how to use it.

Do employers have to provide PPE for agency workers?

Since 6 April 2022, employer PPE duties extend to limb (b) workers, which covers most casual and agency-type workers. For agency staff, agree with the agency who will supply what before the first shift.

Should I keep a record of PPE issued to staff?

Yes, it's good practice. A dated, signed record of what was issued helps demonstrate compliance and makes replacements easier to manage.
